Create the draft budget
When all of the users have finalised their budgets, you can finalise the budget for the trust. The budget can no longer be changed. You can submit the input views, but you won’t be able to change the budget anymore yourself. It is advisable to change each user’s authorisation from write to read.
Create a snapshot
Make a copy of the draft budget for the Executive Board and the Supervisory Board by creating a snapshot. This enables you to look back on data at a specific moment in time. Each report displays the snapshots you are authorised to access. The following article explains how a snapshot is created. If changes were made in Anago on the same day, run the calculation at the trust level first.
Draft budget to the Executive Board and Supervisory Board
Once the draft budget is ready and has been sent to the Executive Board for adoption and later to the Supervisory Board for approval, you can prepare a Budget accountability and explanatory notes document, which can be exported to a Word document with your own corporate identity.
Under Accountability, you will find the settings and the reports where you can write the analysis.
We have created a default layout that you can change.
Click here for the article on Accountability reports settings.

If you would like to export the data directly to your own template, email your board’s template to helpdesk.edu@anago.io. Make sure the template contains the following three pages:

Parameters
When the draft budget has been sent and you are waiting for approval, you don’t want the figures in Anago to change due to parameter updates. To prevent this from happening, it is advisable to add overrides for all of the parameters. You can do this in the Parameters view by adding the parameters in the override.
You can use Ctrl-C and Ctrl-V to add multiple parameters at the same time:

NOTE: Do this for all pages (Funding -> Parameters; Salary costs -> Parameters; Salary costs -> Scale parameters; Salary costs -> Salary table).

Approve the budget
Once the budget has been finalised and approved by the Supervisory Board, you must approve the budget in Anago and import it into your financial source system. The steps are explained below:
$stappen$
- If changes were made on the day the budget was approved and you want to approve the budget in Anago, you must recalculate all of the models. This can take a while. Go to the General ledger accounts view and tick all of the models. If changes were made the day before or earlier, the most recent status will have been calculated overnight, meaning that you can immediately start the approval process. You can also use Calculate the trust.
- Once everything has been calculated, go to the Budget progress and approval view.
- In step 2, you will see the progress of all of the cost centres. In this overview you will see the cost centres that were submitted in the input views. It is not necessary to have submitted all of the views for final budget approval.
- In step 3, select the budget that you want to approve by ticking the box below the budget you want to approve. The Basis is the budget from the input views, the Scenario is the budget from the scenario planning.
- Go to step 4: Check the multi-year budget and click on
- If the displayed data are correct, you can approve the multi-year budget by clicking on in step 5.
- Save the view by clicking on and then close the view. Saving is complete when you can open a report. A message will display if models are still running.
- Open the Multi-year budget report and add, if you wish, the Forecast column by clicking on and changing the statuses and years. The forecast can only be selected if the budget has been approved. If you cannot select the forecast, the budget has not been approved.
- Make sure the figures in the Forecast column are the same as in the Budget column.

A snapshot/copy of the approved budget is automatically created during approval. You can select this snapshot in several reports so you can look back at the figures in the approved budget. You can change the name and description of the snapshot if you so wish in the Create snapshot view.

Import the budget into the AFAS financial system
If your financial source system is AFAS, we can import your Anago budget data into your AFAS system for you. In order to do this, the budget must be for a calendar year and the data may not be particularised. If you would like to use this service, email your request to helpdesk@anago.nl.
For the correct settings in AFAS, see the instructions: Configure AFAS for budget import.
Other source systems
Unfortunately, we do not have an interface with any other financial systems. Send an email to helpdesk@anago.nl to request an export of the approved budget and we will send it to you as quickly as possible.
